This is exactly the sort of nightmare that drives IT departments mad.
There is absolutely no reason why anyone should know how to "get into" anyone else's pc.
By the sound of it (hotmail being banned etc) you are on a network. Therefore if there are common files that need to be accessed, they should be on a network drive for everyone to access.
If there are incoming emails that others may need to address in your absence, then IT should be able to forward any incoming messages to someone else. The random access of other peoples email always ends in pain, ie someone sees what they werent supposed to, or they delete what they werent supposed to etc.
Why not talk to the IT guys, they dont bite you know!
